Synapse Mind Clinics is a psychiatric and neuromodulation clinic located in Kokapet, Hyderabad, operated under Vibrant Minds Speciality Hospitals Pvt Ltd. For the purposes of this policy, Vibrant Minds Speciality Hospitals Pvt Ltd, trading as Synapse Mind Clinics, is the entity responsible for deciding how and why your personal information is processed (referred to here as "we," "us," or "the clinic").

By using this website, contacting us through it, or visiting our clinic, you agree to the practices described in this policy. If you don't agree with any part of it, please don't submit your information to us through the site, and feel free to contact us directly with any questions before you do.

2. Information we collect

We collect information in a few different ways, depending on how you interact with us:

Contact and appointment forms. When you submit our website's contact or booking form, we collect your name, phone number, email address, sex, date of birth, the service you're interested in, your preferred consultation mode, and any message you choose to include.
Direct communication. If you call, WhatsApp, or email us directly, we collect whatever information you share with us through that conversation, such as your contact details and the reason for your enquiry.
Clinical and health information. Once you become a patient, your treating psychiatrist, psychologist, or clinical team collects the health and treatment information needed for your care. This is recorded and held as part of your clinical record, kept separately and confidentially from this website, and handled under the specific protections described in Section 4 below.
Website usage data. Like most websites, our server automatically logs basic technical information when you visit, such as your IP address, browser type, the pages you view, and the date and time of your visit. We use this only for basic security and website maintenance.
Cookies. This website does not currently use third-party analytics or advertising cookies. If that changes in future, we will update this policy to describe what's added and why.

3. How we use your information

We use the information above to:

Respond to your enquiries and schedule, confirm, or reschedule appointments;
Provide psychiatric consultation, therapy, Deep TMS, and other services you request;
Communicate with you about your care, including reminders and follow-up;
Maintain internal records required for running the clinic responsibly;
Meet our legal, medical, and regulatory record-keeping obligations; and
Keep this website running securely and fix problems when they come up.

We do not sell or rent your personal information to anyone. We do not use it for third-party advertising, and we do not share your details with other organisations for their own marketing purposes.

4. Confidentiality of your mental health information

India's Mental Healthcare Act, 2017 gives every person receiving mental healthcare a legal right to confidentiality of their mental health information. In line with this, everything you share with your treating psychiatrist, psychologist, or clinical team, including your diagnosis, treatment plan, and anything discussed during a consultation or therapy session, is kept strictly confidential.

Your clinical information is only shared in a small number of specific situations, consistent with the Mental Healthcare Act, 2017:

With your nominated representative, where you have one;
With other health professionals directly involved in your care, for the purpose of that care;
Where there is a genuine risk of harm to you or to another person; or
Where disclosure is required by law or ordered by a court.

Outside of these situations, we do not disclose your mental health information to anyone, including family members, without your consent. Your treating clinician will walk you through how confidentiality works in more detail during your first visit.

5. Your rights and choices

As a data principal under India's Digital Personal Data Protection Act, 2023, you have the right to:

Ask us what personal information we hold about you;
Ask us to correct or update information that is inaccurate or incomplete;
Ask us to erase your personal information, subject to our medical record-keeping obligations under applicable health regulations;
Withdraw any consent you've previously given, for future processing; and
Raise a grievance with us if you're unhappy with how your information has been handled.

To exercise any of these rights, contact us using the details in Section 11. We'll respond as promptly as we can.

6. How we protect your information

We take reasonable technical and organisational measures to protect the personal and health information you share with us from loss, misuse, or unauthorised access. That said, no method of transmission over the internet, or storage of any kind, can be guaranteed to be completely secure, so we can't promise absolute security, only that we take the matter seriously and act promptly if an issue ever arises.

7. How long we keep your information

We retain clinical records for as long as required under applicable Indian medical record-keeping regulations. Enquiry and appointment-form details submitted through this website that don't result in an ongoing patient relationship are kept only as long as needed to respond to you, and are not retained indefinitely.

8. Third-party services

Our website links out to a small number of third-party services we don't control:

WhatsApp. Our click-to-chat button opens a conversation on WhatsApp, a service operated by Meta Platforms, Inc. Messages you send us there are also governed by WhatsApp's own privacy policy.
Google Maps. Our "Get Directions" link opens Google Maps in a new tab, governed by Google's own privacy policy.

We're not responsible for the privacy practices of these third-party services once you leave our website.

9. Children's privacy

This website is intended for adults seeking care for themselves or on behalf of a family member. Where a minor is brought in for consultation or treatment, we collect and handle information about them with the involvement and consent of a parent or guardian, in line with the safeguards for minors under the Mental Healthcare Act, 2017.

10. Changes to this policy

We may update this Privacy Policy from time to time, for instance if we introduce a new tool on the website or our practices otherwise change. We'll post the updated version here with a new "Last updated" date, and encourage you to check back periodically.
